Administrative Assistant

Quantico, VA
The Administrative Assistant will support the Command-and-Control Training and Education Center of Excellence (C2TECOE) by providing professional administrative support functions to the Branch Head and Headquarters Staff Sections. The Administrative Assistant reports to and receives work direction derivatives from the Project Manager in coordination with the Contract Site Lead.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Performs administrative support functions within the organization such as, but not limited to, answering phones, drafting correspondences, scheduling appointments, making copies of correspondence or other printed material, organizing, and maintaining paper and electronic files.
  • Assists in the appropriate routing of travel requests.
  • Assists in the review and processing of travel claims via the Defense Travel System (DTS).
  • Assists the C2TECOE Security Manager by reviewing and processing Visit Requests via the Defense Information Security System (DISS).
  • Assists the C2TECOE Security Manager by ensuring proper access is provided to all visitors via security clearance verification in DISS.
  • Provides quality reviews for format and grammar.
  • Adhere to the Standard Operating Procedures and Administrative Desktop Procedures.
  • Perform other related duties incidental to the work described.
EDUCATION
  • High school diploma or equivalent required.    
  • Officer/NCO intermediate or career level school or service equivalent.
EXPERIENCE
  • Minimum three years of documented experience performing administrative assistant duties.
CORE SKILLS/COMPETENCIES
Required Knowledge, Skills and Abilities
  • Strong communication and presentation skills.
  • Proficient in the use of Microsoft Office applications (Word, Excel, Access, PowerPoint, Outlook), Adobe, and other media type software. 
  • Knowledge of commonly used USMC concepts, practices, and procedures. 
  • Must be able to work independently with little or no supervision, be exceedingly well organized, and flexible. 
  • Confidential data and information management experience required. 
  • Strong familiarity with government regulations and directives pertaining to confidentiality, document retention, and project site protocols.
  • Ability to multi-task.
  • Ability to perform diverse duties under operating and deadline constraints.
WORKING CONDITIONS
  • May be required to sit or stand for extended periods of time and maintain focus.
  • May be required to lift awkward sized items weighing up to 50 pounds.
  • Be able to work a flexible schedule, to include holidays and weekends.
  • May be required to work in inclement temperatures from 100 degrees to -25 degrees.
SPECIAL POSITION NOTATIONS
  • Occasional travel may be required.
  • Qualification as an authorized company driver is required. All authorized company divers must have a valid driver's license, current automobile insurance, and a driving record that is acceptable to the company's auto insurance provider. 
SECURITY CLEARANCE
  • A Secret security clearance is required for this position.
